The honest read: a desktop client is still the better tool if you want a full offline archive on one machine, and it costs less. A browser based client wins when you move between machines, cannot install software, or need the mail sorted rather than merely gathered.

Why people move off a desktop client

Four reasons the browser wins for multiple accounts

The setup does not follow you. A desktop client stores its account configuration on the machine it is installed on. Five mailboxes configured on your desk machine are five mailboxes you configure again on the laptop, and again after a reinstall. A web based client holds the configuration on the server, so a second machine is a login, not an afternoon.

IT will not let you install it. Contractors, agency staff, and anyone on a managed corporate laptop routinely cannot run an installer. That single policy rules out Mailbird, eM Client, Thunderbird, Canary, and every other desktop option in one stroke, and it is the most common reason people go looking for a browser based client in the first place.

The good desktop clients skip your operating system. Most polished multi account clients ship for Windows and Mac only. eM Client and Mailbird have no Linux build at all. On a Chromebook, the desktop route means enabling the Linux container and installing Thunderbird inside it, which works but is a developer feature rather than a normal app install. A web client does not care what the machine runs.

Gathering is not the same as sorting. Once four accounts feed one list, you have not reduced the volume, you have concentrated it. Desktop clients answer that with manual rules you write and maintain forever. The reason to pay for a browser based client in 2026 is that the sorting can happen on the server, on every message, without you writing a single rule.

Managed and locked down machines

No admin rights, no installers, no exceptions from IT. A URL is the only software delivery method that survives that policy, and it is the reason browser based tools keep replacing desktop ones inside larger companies.

Three things you give up in the browser

Worth knowing before you switch, because for some people these are dealbreakers.

A full offline archive. A desktop client downloads years of mail to local storage, so it works on a plane and it survives an account being closed. A browser based client needs a connection. If you want a permanent local copy of everything, install a desktop client alongside; the two coexist fine over IMAP.

Deep operating system integration. Native notifications, the system address book, default mail handler, calendar and contacts in the same window. eM Client in particular bundles mail, calendar, contacts, and tasks in one desktop suite, and a browser tab does not replace that.

Microsoft 365 work accounts. This one is specific to us and worth saying plainly. Inboxes authenticates with an IMAP username and app password, and Microsoft finished retiring basic authentication for Exchange Online in April 2026. A Microsoft 365 work or school mailbox will generally not connect. Personal Outlook.com, Gmail, iCloud, Yahoo, and your own domain all work normally with an app password.
